POCAD Remodeling Inc. (“POCAD,” “we,” “us,” or “our”) respects your privacy. This Privacy Policy explains how we collect, use, protect, and disclose information when you visit pocadair.com, engage our Complete Heating & Air Conditioning Services, or use the POCAD Platform — our client portal, mobile apps, membership plans, ClimaScore™ system-health index, AI HVAC Companion, and the POCAD Rewards Network referral program.

2) Information We Collect

We collect only what we need to provide and improve our services.

• Information You Provide: name, address, email, phone; service details (property info, equipment model, scheduling preferences); limited billing information processed via trusted payment providers (we do not store full card numbers).
• Platform Account Information: login credentials (passwords are stored only in securely hashed form), account type, membership plan, and your acceptance of terms.
• HVAC System & Service Data: equipment details and nameplate photos, technician health-check readings, maintenance and visit history, project records, and the ClimaScore™ values computed from them.
• AI HVAC Companion Conversations: the questions you send to the AI assistant and its responses, along with usage counts tied to your plan.
• Referral Program Data: your referral code, referral activity, and reward status if you participate in the POCAD Rewards Network.
• Information Collected Automatically: IP address, general location, browser/device data, pages visited, and time on site. If you enable push notifications in our app, we store a device push token. We use cookies and analytics solely to improve performance and user experience.

3) How We Use Information

• Provide, schedule, and complete requested services
• Operate your Platform account — projects, quotes, payments, messaging, support tickets, and maintenance tracking
• Compute and display your ClimaScore™ and system-health history
• Generate AI HVAC Companion responses and enforce plan usage limits
• Run the POCAD Rewards Network and credit qualified referral rewards
• Respond to inquiries and prepare estimates
• Process payments and send invoices/receipts
• Send confirmations, reminders, and essential service updates by email, SMS/text, in-app message, or push notification
• Improve our website, communications, and customer support
• Comply with laws, licensing, and code requirements

We do not sell, rent, or trade your personal information.

4) Data Security

We use administrative, technical, and physical safeguards to protect your data (encrypted connections, hashed passwords, restricted access, routine updates). However, no system is 100% secure; by using our site, you acknowledge this inherent risk.

5) Sharing & Disclosure

• Service Partners: licensed subcontractors, delivery services, and suppliers as necessary to complete your project
• Payment Processing: Stripe (card payments and subscriptions) and, for purchases inside our iOS app, Apple In-App Purchase — these providers handle your card details under their own privacy policies
• AI Processing: when you use AI-powered features (the AI HVAC Companion, and automatic reading of equipment nameplate photos), the relevant content is processed by our AI provider, Anthropic, to generate the response
• Communications Delivery: SMS/text messages are delivered through Twilio; app push notifications are delivered through platform push services such as the Apple Push Notification service
• Legal Compliance: when required by law, regulation, subpoena, or court order
• Business Transfers: as part of a merger, acquisition, or asset sale

Third parties handling data must keep it confidential and use it only for the agreed purpose.

6) ClimaScore™ & AI Features

• ClimaScore™ values are computed from your system data and technician inspections, stored with your account, and shown to you and to the POCAD team servicing your equipment. ClimaScore™ and the POCAD Platform are owned by Zul Spot LLC and operated by POCAD under license.
• AI HVAC Companion conversations are used to generate responses, enforce plan limits, and improve service quality. Please do not include sensitive personal information (such as financial account numbers or health information) in AI chats.
• AI outputs are informational only — see our Terms & Conditions for the limits that apply to AI-generated content.

7) Data Retention

We retain personal information only as long as necessary for service delivery, recordkeeping, and legal/tax obligations. Service history and system data may be retained while your account is active so your ClimaScore™ trend and warranty records stay accurate. When no longer needed, data is securely deleted or anonymized.

8) Cookies & Analytics

We may use cookies and similar technologies for functionality and traffic analysis. You can control cookies via your browser settings; some features may not work properly if cookies are disabled.

9) Your Rights & Choices

• Request access to the personal data we hold about you
• Request corrections or deletion of inaccurate information
• Opt out of non-essential marketing communications
• Disable push notifications at any time in your device settings

10) Platform Account Holders

If you hold a POCAD Platform account (client portal or mobile app), the comprehensive POCAD Platform Privacy Policy also applies to your account and provides additional detail on app permissions, notifications, payments, data retention, and your privacy rights. If this website policy and the Platform policy conflict with respect to Platform data, the Platform policy controls.

11) Third-Party Links

Our site may link to third-party websites (manufacturers, payment processors, etc.). We are not responsible for their content or privacy practices. Review their policies before providing information.

12) Children’s Privacy

Our website and services are not directed to children under 13, and we do not knowingly collect their information. If you believe a child has provided data, contact us so we can delete it.
